Commercial building services

Compliance starts
with a clear scope.

Bring your electrical, heating, cooling and associated plant requirements into one maintenance conversation. Identify the checks, specialist responsibilities and evidence your building needs.

Define the work

A scope you can understand.

Agree the requirements and deliverables before the work is arranged.

01

Know what is installed

An asset register and available reports help define the programme. Capture the asset, location, system type and records already held.

02

Distinguish the duties

Routine servicing, periodic inspection, statutory examination and specialist assessments serve different purposes. Identify each applicable requirement and who is responsible for it.

03

Keep the evidence connected

Agree how reports, failed checks, inaccessible equipment, remedial actions and next-due dates will be recorded and reviewed.

Start with the installed systems

Different plant.
Clearly defined requirements.

Fixed electrical installations

Define the inspection and maintenance scope; retain the condition report and evidence of corrective work.

Explore the scope

Electrical appliances and emergency lighting

Identify their separate checks, equipment records and actions rather than grouping them as one electrical certificate.

Explore the scope

Boilers and heating plant

Distinguish servicing, applicable fuel-safety requirements and any separate qualifying pressure-system examination.

Explore the scope

Air conditioning and refrigerant plant

Include applicable refrigerant checks and records. Treat any required energy inspection as a separate assessment.

Explore the scope

Air handling and ventilation

Agree equipment-level work and access. Specialist fire/smoke damper and hygiene work need their own defined scope.

Explore the scope

Pumps, pressurisation and controls

Identify the supporting assets and responsibilities. Record authorised changes, findings and unresolved actions.

Explore the scope

Water hygiene and pressure examinations

Confirm applicable requirements and the competent specialist provider. General mechanical servicing does not automatically include these duties.

Explore the scope

Trace heating and hazardous-area equipment

Identify the process and environment, then confirm the specialist competence and documentation required.

Explore the scope

A useful record

Make the evidence
part of the agreement.

Confirm what will be provided for the service you choose.

  • An agreed asset and service scope with exclusions.
  • Reports and certificates appropriate to the work actually completed.
  • An action record showing outstanding items and completed corrective work.

Before you enquire

A few things made clear.

Can a maintenance contractor take away all our legal responsibilities?

The duty holder needs to understand the applicable duties and retain oversight. Contractor responsibilities should be clearly agreed within the contract.

Does SFG20 replace statutory inspections?

No. A maintenance specification should identify applicable duties, but required examinations and specialist assessments still need the right scope and competent provider.

Will good maintenance records guarantee an insurance claim?

They may help evidence the work carried out. Policy conditions, coverage and claim decisions remain specific to the insurer and circumstances.
