Building Controls and BMS: Maintenance Information That Matters

Controls connect equipment to how a building operates. Useful records help the maintenance and project team understand those connections.

Reviewed and rewritten 12 October 2026. General planning guidance; agree the actual technical scope for your building.

Describe the control arrangement

Provide available information about controllers, interfaces, sensors, operating schedules and the plant they serve. Identify the responsible people and any specialist controls provider. A description of the system is more useful than a generic request to improve efficiency.

Explain symptoms and operating context

Record comfort issues, alarms, overrides, unusual operating patterns and changes in building use. Keep the location and timing of the symptoms clear. A controls issue may interact with plant condition or distribution, so the scope should reflect the actual concern.

Agree responsibilities and access

Define what the maintenance provider can inspect or change, which access requires authorisation and what sits with a specialist. Do not share credentials through a general enquiry form. Arrange authorised access through the appropriate business process.

Record changes and findings

Keep the agreed work, settings or programme changes and findings documented for the responsible team. Avoid losing the explanation of why an override or change was made. Review unresolved matters alongside the wider maintenance records.

Plan upgrades as projects

Replacement controls or changes in system operation may require design, integration and commissioning. Establish the required outcome and interfaces first. Any claimed energy or comfort improvement should be supported by the actual project evidence.

Turn the information into a useful enquiry

Include the site postcode, the systems and the work required. Add records, symptoms and access restrictions where relevant. For urgent faults, call to discuss availability.
