Commercial building services / Practical guide

Prepare Commercial Air Conditioning for Summer

Bring cooling-system service, operating conditions and site information together before the building becomes uncomfortable.

Reviewed and rewritten 12 October 2026. General planning guidance; agree the actual technical scope for your building.

Record the equipment and the symptoms

Provide the unit types, locations and model information where available. Explain comfort issues, unusual noise, leaks, fault messages or recurring problems. Include the areas affected and the impact on building use.

Review the service history

Gather previous service reports, repair findings and relevant refrigerant records. Identify the equipment that is approaching a service or review date. Agree the actual maintenance tasks against the system and applicable manufacturer information.

Plan access before the visit

Explain access to indoor and outdoor units, restricted plant areas and occupied spaces. Clarify working hours, permissions and any specialist access arrangements. Maintenance should be planned around the building, not left to an assumption that every unit is readily accessible.

Include air movement and controls

Cooling complaints can involve airflow, controls, occupancy and building conditions. Describe the wider context so the enquiry does not assume that a single component is the cause. Related ventilation work should have an explicit scope.

Use the findings

Ask for a clear record of work, defects and recommended next steps. Decide who authorises repairs and how condition information informs future replacement. Relevant F-Gas duties and records depend on the actual equipment and work; servicing alone does not replace all separate obligations.

Turn the information into a useful enquiry

Include the site postcode, the systems and the work required. Add records, symptoms and access restrictions where relevant. For urgent faults, call to discuss availability.
